The useful part of guest post outreach is the research before the email. Read the publication’s submission instructions and recent articles. Check that your idea answers a question for its readers rather than repeating a topic already covered.

The example below is a starting point, not a mass-email script. Replace every bracketed field with a detail you have verified. Do not claim to be a regular reader, customer or expert unless that is true.

Subject: Article proposal: [specific topic] for [publication]

Hello [editor’s name or editorial team],

I read your article on [actual topic]. I’d like to propose a companion piece on [specific unanswered question] for [the publication’s audience].

Proposed title: [clear working title]

The article would cover:

  • [A practical problem and why it matters]
  • [A worked example or useful process]
  • [A checklist or action the reader can take]

I can contribute [relevant experience, original material or sources you actually have]. Here is a relevant writing sample: [URL you have permission to share].

[If this is a commercial proposal: I represent [business]. Please let me know whether you accept sponsored contributions and what your pricing, disclosure and link-attribute requirements are.]

Make the pitch useful to an editor

A vague offer such as “I can write about business” gives the editor little to assess. A proposal such as “How a small agency can organise client handovers without losing approvals” identifies a reader, a problem and a practical outcome.

Explain how your contribution differs from an existing article. Keep the first message focused. Do not attach large files, invent testimonials or promise traffic. Use the publication’s stated contact route and respect refusals or requests not to be contacted again.

Prepare the brief after acceptance

Read the guest post guidelines checklist before sending a draft. An editor can change a title, request revisions or reject a piece that does not meet the publication’s standards.

Keep sponsored proposals transparent

If money, products or another benefit are involved, say so. For paid links, Google’s spam policy calls for rel="sponsored" or rel="nofollow". Do not ask an editor to hide payment or guarantee search ranking credit.

An outreach template cannot guarantee a reply, acceptance, indexing or rankings. Judge the process by editorial fit and useful outcomes rather than the number of messages sent.
